This explains what information we collect, where it comes from, how we use it, and the choices you have. In short: we work with business information, we don't sell it, and any business can opt out of hearing from operators on our platform.
1. Who we are
Vending Location Finder is run by VLFS LLC, an Ohio limited liability company ("we", "us"). We make software that helps vending machine operators find businesses that could host a machine, reach the right person there, and keep track of placements once they're installed. We also run a marketplace where businesses can ask for a machine and operators can claim those locations.
This policy covers three groups of people: visitors to our website, our customers (vending operators and their team members), and the businesses and people we hold business information about so our customers can contact them.
2. Information about our customers
When you create or use an account, we collect:
- Account details like your name, work email, phone number, company name and password (stored as a one-way hash, never in plain text).
- Brand and business details you give us for your letters and emails, like your logo, mailing address, sending domain and the name that signs your emails.
- Your work in the product, like the searches you run, campaigns you build, notes you add and locations you reserve.
- Machine and sales data you import, which we use to show your results and work out any revenue share owed under your agreement with us.
- Billing details, if and when we bill you through a payment processor. We don't store full card numbers ourselves.
- Basic technical data like IP address, browser type and the time of each sign-in, which we keep for security and an audit log.
3. Information about businesses and their contacts
To help operators find locations, we collect information about businesses, not consumers. This includes:
- Public business details like the business name, address, category, phone number, website, hours and ratings.
- Work contact details for the person most likely to make the decision, such as an owner or general manager: their name, job title and work email address. We note whether an email address was confirmed as deliverable, and we don't email shared inboxes like info@.
- Outreach history, such as when a letter was mailed or an email was sent, and whether someone replied, scanned a QR code or asked to stop.
- What you tell us if you fill in a form on our site or on an operator's page, like your interest in a machine and how to reach you.
We don't collect personal email addresses, home addresses or personal phone numbers on purpose. If we find one, we don't use it for outreach.
4. Where the information comes from
- Directly from you, through your account or a form.
- Public sources, including online business listings and maps and the business's own website.
- Business contact data providers and email verification services we work with.
- Our customers, when they add or correct details about a business.
5. How we use information
- To run the product: search for locations, score them, prepare letters and emails, and show results.
- To send letters and emails on behalf of the operator you hear from. Every message identifies that operator and includes a way to opt out.
- To run the marketplace, including vetting businesses that ask for a machine and introducing them to one operator.
- To keep information accurate, including checking that email addresses still work and removing ones that bounce.
- To bill customers and calculate revenue share.
- To keep the service secure, prevent abuse and meet legal obligations.
- To improve the product. We don't sell information, and we don't use it for advertising.
7. Your choices, and removing your business
Unsubscribe. Every email includes a one-click unsubscribe link. Once you use it, that operator won't email you again.
Remove my business. You can ask us to stop all letters and emails to your business, from every operator on our platform. We'll add it to a do-not-contact list so it isn't added back later. We keep only the minimum needed to honor that request.
8. Privacy rights in your state
Depending on where you live, including California, you may have the right to know what information we hold about you, to get a copy, to correct it, to have it deleted, and to opt out of any sale or sharing. We don't sell personal information. We won't treat you differently for using these rights.
To make a request, email contact@vendinglocationfinder.com or use our contact page. We may need to confirm your identity first. You can also have an authorized agent make the request for you. We respond within 30 days, or tell you if we need up to 45.
10. How long we keep it
- Account information stays as long as your account is open, then is deleted within 90 days of closing it, except what we need to keep for billing, tax or legal reasons.
- Business contact details that never led to a placement are deleted or refreshed within 24 months of the last outreach.
- Do-not-contact and unsubscribe records are kept for as long as we operate, so we can keep honoring them.
- Backups roll off within about 90 days.
11. Security
We encrypt data in transit, store passwords as one-way hashes, keep each operator's data separated at the database level, limit who on our team can access it, and log sign-ins and changes. No system is perfectly secure, but we work to protect your information and will tell affected people about a breach as the law requires.
12. Children
Our service is for businesses. It isn't meant for anyone under 18, and we don't knowingly collect information from children.
13. Where we process data
We are based in the United States, and our service and providers store and process data in the United States.
14. Changes to this policy
If we change this policy, we'll update the date at the top. For significant changes we'll also email account holders before the change takes effect.
